Board Member Meeting

AGENDA:

 

A   CALL TO ORDER at 10:00 am

 

Board Members in Attendance: Wes Forshee, Chuck Broten, Reinhold Schuetz, Terry Welling, John Galligan, Jim Pape, Ron Whitaker, Dan Skaramuca and Denney Dawson.

Board Members not in Attendance: Tom Seeley and Steve Carley.

B   ORDER OF BUSINESS

 

A.   Review and Approve prior Meeting Minutes

 

·         The  minutes of the January 10, 2023 were approved. Available on-line on the MWSGA website for the members information.

 

B.   Review Tournament Schedule Confirmation/Contacted for 2023

 

Discussion and Action: 

 

·         John Galligan replaces Wes at Hawk’s Prairie on August 9th as Tournament Chair and Dan Skaramuca is the Tournament Co-Chair.

·         Steve Carley confirmed Eagle’s Pride for a second additional event on July 19th. Steve as Tournament Chair and Dan as Tournament Co-Chair.

·         Auburn Golf Course has been confirmed as an addition to the 2023 tournament schedule on August 16th.

·         It was discussed and determined that teamwork between the assigned Tournament Chair and the Tournament Co-Chair was essential for the event success.

·         It was noted that the information available about the detail of each event to the membership in the “More Info” section in the member listing was previous 2022 event information listings. It was recommended that each Tournament Chair confirm the event detail of his event and update the info in the “More Info” section and in the Dashboard. It is important accessible information now for the membership to decide if they are participating in the event in advance.

 

C.     Time clock for Improving Pace of Play

 

Discussion and Action:

 

·         Chuck Broten researched the best timeclock for our requirements. The result was an electric time clock with a battery back up for $250.00. No need for the battery if power is available. It will be mounted on  the table where members pay the $10 entry fee. The member simply slides the back of the scorecard into the time clock. It is paramount to use the time clock immediately completing the round, make sure the scorecard is completed and signed correctly and put in the scorecard box. The objective is to build a data base of the times recorded to evaluate the time gaps by the slower groups. We will publish the results each week so the members can see what we are seeing. We are not implementing penalties at this time.

·         It was emphasized that each Tournament Chair should firmly request ten min ute tee time intervals to promote better place of play.

·         Instituting these additions should help satisfy some of the concerns that course managers have about our pace of play and they allow timely access to the course after our event. The Tournament Chair should reassure the course that the MWSGA takes the issue seriously.

·         A reminder sign on the 18th green and/or on the tee signs regarding the scorecard time stamp was proposed as something to consider.

 

D.     Correct Scorecard Entries Based on Format

 

·         Reinhold continues to educate the membership of the appropriate way to fill out the scorecards for Scramble and Best Ball events. There is an explanation and example of each format’s scorecard on the event table for each player to see. If an incorrect scorecard is turned in with missing signatures or scoring mistakes, corrective action could include a warning, stroke penalty or a DQ.

 

E.      Old Business

 

·         The addition of a Forward Tee option last season was well received by the membership.

·         The criteria to select the Forward Tees  is the “85 Rule”. The age of the player and his or her handicap adds up to 85, then Forward Tees can be selected in the player profile. The tees selected (back or forward) is final and in place for each event for the entire season. If a player wants to play from the Back tees though he qualifies from the Forward tees then that can be accommodated. A player who does not meet the combined age and handicap criteria and wants to play from  the Forward tees, the player may make a written (email) request with justification to the Board for consideration. Any player who is 75 or older will be assigned the Forward tees regardless of handicap unless the board is told they want to play the Back tees.

·         Improving the tournament Director’s ease of assigning the tee status for each player for each event was proposed and Chuck agreed to look in to how to make this exercise more user-friendly.

·         It was also suggested that we suggest the course move the tees forward on the back and the forward tee boxes and have the pin placements in easier positions on the greens. Another way to speed play.

 

F.    Scramble Format Differential

 

·         Issue:  During the 2022 Golf Season, a handicap differential of 50%/50% was used. An evaluation is needed to ensure the most fair and equitable differential is used as well as a differential that members will understand.  Several options for Scramble tournaments are available for use in Golf Genius including the 50%/50%.  The USGA recommends the 35%/15% option. 

 

·         Discussion: Specifically, the pros and cons of the two options of 50%/50% and 35%/15% were discussed.   It was noted that the 35%/15% differential was used by MWSGA Scramble Tournaments in the past for many years.

 

·         Decision:  A motion was made and a vote taken to approve the use the USGA recommended 35%/15% differential for Scramble tournaments during the 2023 golf season.

 

G.   Best Ball Format Differential

 

·         The Best Ball differential is 8 strokes. If the difference between each player’s handicap is greater than 8 strokes then the higher handicap is reduced so the difference is 8 strokes. Any strokes greater than 8 would not be counted. For example, if the handicap of player A is 10 and player B is a 25 then player

B would play to an 18.

 

·         Chuck is looking in to how the Shamble format option is in Golf Genius\

 

H.   Miscellaneous

 

·         We have plenty of scorecard stock for now but should order some. Chuck prints the pre-printed $10 envelopes.

·         Jim Pape showed the board the 8 completed KP Measurement tapes. All were impressed by the design, fabrication and durability of the KP measurement tapes. Bravo Jim!

·         Golf Genius costs $3800/season regardless of the features not used.

·         Determined we need $12,000 on hand to cover expenses.

J.    New Business

 

·         Wes demonstrated the challenge of assigning back or front tees for each player in an event. Chuck offered to find a way to make the tee assignments easier.

 

K.   Adjournment

 

A motion was made to adjourn the meeting, and seconded.  By a unanimous     vote of the members present, the meeting was adjourned at noon.
